Overview

Each case profile brings intake data, services, assignments, referrals, notes, documents, notifications, and alerts together. That breadth can give staff a shared operational picture of a case, while service-plan, referral, and outcome tracking supports work beyond intake. A client portal is also included.

Organizations can tailor intake forms, digitize paper forms, automate manual processes, use pre-built service forms, and define custom services. External forms can be shared by link or embedded on a website, which gives agencies a way to collect information beyond staff-entered records. This flexibility is most useful when programs have distinct intake requirements; it also makes implementation a project, with typical deployment taking 8–12 weeks from contract to go-live, including data migration, customization, and staff training.

Key features

Reporting and integrations

Users can build filterable, shareable reports from database fields and visualize results with charts and graphs. That makes the reporting toolkit relevant to teams needing to examine program data in different ways, although it depends on the organization having useful fields and reporting needs to configure. Collaborate integrates with DocuSign and supports API connections to systems such as statewide referral services, medical billing, payroll, staffing, and QuickBooks. Those connections can make it a better fit for agencies working across established operational systems than for teams seeking a standalone tracker.

Security and support

The maker says Collaborate is HIPAA compliant and SOC 2 Type 2 compliant. Encryption, role-based permissions, multifactor authentication, SSO support, audit logs of access and changes, and backups address controls that matter when handling sensitive records. Support includes a knowledge base, in-app help, support requests, live and on-demand training, and an account manager, a useful combination for an implementation that involves migration and staff training.

Deployment and access

Collaborate is cloud hosted and accessed through modern browsers, so it requires no software installation. It is responsive on desktop, laptop, tablet, and mobile phone when an internet connection is available. Collaborate for Networks supports secure sharing of sensitive data among organizations using Collaborate, making it especially relevant to partner networks already working on the platform.

Pricing

Collaborate uses custom pricing based on organization size, user count, and modules. There are no per-seat licensing fees, a meaningful distinction for agencies whose staffing patterns would make seat-based licensing difficult to budget. The price is on request, so buyers should establish the cost of their required modules and organization configuration before comparing total spend.

The custom-priced plan includes custom intake forms, service-plan tracking, referral tracking, outcome tracking, and a client portal. Because there are no lower published tiers, there is no cheaper plan with a defined feature set to weigh against those capabilities. Buyers should also account for the stated 8–12 week deployment period when planning a transition.

Platforms

Collaborate supports Android, iOS, web, and API access. Browser-based cloud hosting avoids installation, while mobile access still requires an internet connection. The API supports connections to other systems, but the range of integrations will depend on the agency’s needs and implementation.

Who it's for

The strongest fit is a nonprofit or public-service organization with program-specific intake, coordinated service work, and sensitive information to manage. The maker identifies children’s advocacy centers, domestic violence and sexual assault programs, youth programs, substance abuse treatment, health and wellness programs, housing programs, healthcare violence prevention programs, and government human services departments among its users. Agencies that need networked data sharing may also find the Networks capability relevant. Smaller teams with standard workflows or a need to launch immediately may find the customization and deployment commitment unnecessary.

Pros and cons

Pros

Broad case profiles: Intake, services, referrals, assignments, notes, and documents sit together, giving teams a more complete case view.
Configurable collection and tracking: Tailored intake, external forms, service plans, referrals, and outcomes support varied social-services workflows.
Reporting and connectivity: Filterable, shareable reports and API connections can serve agencies that need to analyze program data alongside other systems.
Security controls and support: Role-based permissions, MFA, SSO support, audit logs, and account-manager support are pertinent to sensitive, organization-wide deployments.

Cons

Custom pricing: Buyers cannot quickly compare a published price against their budget, even though per-seat licensing fees are not charged.
Longer implementation: An 8–12 week typical deployment, including migration, configuration, and training, is not suited to an urgent rollout.
Network sharing has a specific scope: Collaborate for Networks is for secure sharing among organizations using Collaborate, which may not suit partners on different systems.

Verdict

Collaborate is a strong candidate for social-services organizations that need tailored intake, detailed case coordination, program reporting, and controlled information sharing. Its broad records, configurable forms, and support for sensitive workflows are the main reasons to choose it. Look elsewhere if custom pricing or an 8–12 week deployment does not fit your budget or timeline.
