Overview

Manage connects intake with matter execution through workflows, dashboards, permissions, reporting and task tracking. Law firms managing multiple client cases and remote teams can use it to organize matter work, while corporations can apply it to process management, resource visibility, timelines and email communications. The wider scope is useful when these activities need to work together; teams looking only for a dedicated legal-hold tool may find the platform broader than they need.

Key features

Workflows, matters and documents

Teams can design workflows for complex processes, with matter tracking and task management supporting follow-through. The document repository centralizes files exchanged during projects for access and retrieval. This pairing makes sense when matter work and project documents need a shared home, though teams should consider how much workflow configuration their processes require.

Billing and conflict checking

Configurable billing rates, rush rates, billing sets and invoice templates let firms adapt invoices to different arrangements. Conflict checking adds criteria-based searches, automated triggers and comparative evaluations, with integration to external conflict-checking databases. These tools are relevant to firms handling varied matters, but corporations focused on process management may place less weight on the legal-specific capabilities.

Legal holds and communications

Legal-hold tools include templates, custodian acknowledgments, automated reminders, response tracking and centralized dashboards. Audit trails and MFA-enabled access support accountability and controlled access. Integrated email keeps process-related communications visible within the platform, which can help teams follow work without separating messages from the process they concern.

Identity and security

Active Directory synchronization supports single sign-on, and two-factor authentication can be enabled. Knovos says project files and communications are encrypted using current encryption standards and offers IP-restricted access. These controls give organizations options for managing access, though the specific configuration should be assessed against their security requirements.

Pricing

Knovos Manage is paid software with custom pricing. Standard licensing is described as cost-effective, while Pay-as-you-go uses usage-based pricing; neither plan has a published amount or stated seat quota, usage cap, trial length or renewal term. The Standard licensing option may suit teams seeking a conventional license, while Pay-as-you-go may better match variable usage, but buyers will need a quote to compare their actual costs.

Platforms

Manage is offered as web software and can be deployed self-hosted, in the cloud, on-premise or in a hybrid-cloud environment. That range gives organizations a choice between hosted access and deployment aligned to their infrastructure preferences.

Who it's for

Manage is a strong candidate for law firms coordinating multiple client matters, especially when billing, conflict checks and legal holds belong in the same operating environment. Corporate teams may find it useful for configurable processes that span email, resources and timelines. Organizations seeking only basic hold administration, or a narrowly focused tool, should compare the broader scope against their needs.

Pros and cons

Pros: Configurable workflows, matter tracking, documents, billing and legal holds bring related operational work together.
Pros: Hold templates, reminders, acknowledgment tracking, dashboards and audit trails support organized follow-up.
Pros: Cloud, on-premise, hybrid-cloud and self-hosted options provide deployment flexibility.
Cons: Custom pricing and unpublished plan limits make cost comparison difficult before obtaining a quote.
Cons: Its broad legal-operations scope may be more than teams need when their priority is only legal holds.

Verdict

Law firms and corporate teams that need configurable matter workflows alongside legal holds, billing or process management should consider Knovos Manage. Its strongest reason to choose it is the combination of operational breadth and deployment choice; its main drawback is custom pricing, compounded for hold-only buyers by a scope they may not need. Request pricing if that combination fits your work, and look elsewhere if a focused hold product is the priority.
