Overview

The product spans RFP, RFI, and RFQ creation, supplier response drafting, and buyer evaluation. Templates, approvals, and scoring criteria give buyers a repeatable process, while suppliers can draw on reusable answers in a centralized knowledge base. The breadth is useful for organizations coordinating both sides of procurement, though the buyer and supplier plans have distinct publishing and response caps.

AI scores submissions against criteria, highlights outliers, and produces executive summaries. Analytics include win-rate tracking, proposal engagement, vendor benchmarking, supplier scorecards, and historical analysis. These tools can help teams compare activity and responses, but the registration agreement warns that AI output may be inaccurate, incomplete, or biased and leaves responsibility with users.

Key features

Buyers can configure scoring and approval workflows, while a supplier portal supports response collection. On the supplier side, suggested answers and reusable content can cut repeated drafting. The response quotas are a meaningful constraint: the named supplier tiers top out at five responses per month, so higher-volume bidders should confirm a suitable arrangement before committing.

Security controls include AES-256 encryption in transit and at rest, role-based access, SSO, audit trails, access logs, version histories, and data residency and retention controls. The privacy policy says personal data is neither used nor shared with third parties to train AI models. Plan descriptions include two-way Google Drive and Microsoft OneDrive sync; the buyer intelligence plan also names Salesforce and HubSpot.

Pricing

RFP360.AI has separate free plans for buyers and suppliers. The Supplier Free Plan is free (billed Monthly) and allows 1 RFP response and 1 user seat. The Buyer Free Plan is free and permits 1 RFP publish and up to 1 user seat. Both are useful for trying a narrowly scoped workflow, but their single-response or single-publication caps make them poor fits for ongoing team use.

The Pay-per-RFP plan is 100.00 USD per once (billed Per RFP), with up to 50 reusable answers or attachments, 1 teammate, and 200 AI credits. It suits an occasional response better than a recurring workload. Monthly supplier plans are Supplier Starter at 199.00 USD per month for 2 responses and up to 2 seats; Supplier Professional at 299.00 USD per month for 3 responses and up to 3 seats; and Supplier Enterprise at 399.00 USD per month for 5 responses and up to 3 seats. A separate Supplier pro plan is also 399.00 USD per month, with 5 responses, up to 5 seats, and 1,000 AI credits. That same price buys two more seats and a stated credit allowance, making its terms worth comparing carefully with Supplier Enterprise.

The Buyer intelligence plan costs 499.00 USD per month for up to 5 seats and 1,200 AI credits. Buyer Intelligence has custom pricing, billed by contacting sales, for 5 RFP publishes per month and up to 5 seats. The Custom enterprise plan uses custom pricing based on needs and adds custom integrations and API, a dedicated account manager, personalized onboarding, and priority support. A 30-day free trial offers full feature access without a credit card, plus a dedicated customer success manager and 24/7 support and training resources.

Platforms

RFP360.AI is available on web and through an API, suiting browser-based teams and organizations that need API access. A supplier portal is included for collecting responses.

Who it's for

The maker identifies government and public-sector organizations, suppliers and vendors, enterprises, and mid-market and growth companies as intended audiences. The mix of buyer and supplier workflows is most compelling for teams that need more than a document repository and can work within the plan's response, publishing, and seat limits. Occasional bidders can start with the pay-per-RFP option; teams with frequent submissions should weigh the monthly caps against their workload.

Pros and cons

Pros: Buyer and supplier workflows share one platform, with templates, approvals, response drafting, scoring, and collection in the same product.
Pros: Analytics extend beyond scoring to win rates, engagement, benchmarking, scorecards, and historical data.
Pros: The free options and 30-day full-access trial offer ways to assess a workflow before taking on a monthly plan.
Cons: Free plans allow only one response or publication and one seat, while the named monthly supplier plans cap responses at five.
Cons: AI results require human review because the agreement explicitly warns of inaccurate, incomplete, or biased output.
Cons: Multiple supplier tiers at 399.00 USD per month have different seat and credit terms, so choosing by price alone can miss a material difference.

Alternatives

RFP Software is the broader category directory for comparing options. Choose BidNet Direct instead if the priority is browsing and submitting member-agency opportunities with real-time bid matches; its Basic plan is free. ARCUS eRFx is another paid, web-based option. Scanmarket eRFx is a paid web and API option with demo-based pricing.

TenderWorks may suit buyers seeking a paid web platform with a 30-day free trial that includes full access, document management, and dedicated onboarding; its trial is free. RFP.co is a paid web and API alternative with a 29.00 USD per month Starter plan for two users and two active response projects, a lower entry point for small response teams. TenderOS is another paid, web-based option.

RFP.ai may fit teams seeking a paid web, API, and browser-extension product; its Starter plan is 49.00 EUR per month and includes five users, unlimited projects, and stated token and page allowances. PowerRFP is a freemium web alternative with a free plan.

Verdict

RFP360.AI is a sound choice for procurement teams and suppliers that want structured RFP workflows, AI-assisted drafting and evaluation, and analytics in one system. Its strongest reason to choose it is that it serves both sides of the process; its main reason to look elsewhere is the combination of capped response volumes and AI outputs that still demand human oversight.
