Overview

Track Star imports purchases from a fleet’s current fuel-card provider and matches them to an asset’s location at the time of purchase. Keeping the existing provider avoids changing the fleet’s card arrangement, while the feed schedule means a mismatch may not appear until days after a swipe. That makes the system more appropriate for exception review and cost accounting than for instant purchase oversight.

Fuel costs are recorded alongside parts and labor on each asset, giving managers a way to assess spending per unit rather than treating fuel as a fleet-wide total. Reporting also separates idle time and PTO hours from drive time, with group and period filters. Rented or leased equipment can be tracked if it reports into Track Star.

The company describes the service as SaaS that works out of the box without upfront or ongoing IT involvement. That hosted approach is useful for organizations seeking to avoid managing software infrastructure, though Track Star’s value is greatest when its asset data is part of the fleet’s day-to-day operations.

Key features

Fuel exceptions and reconciliation

Managers can flag purchases whose location does not match the asset, amounts above recorded tank capacity, fueling outside shift windows, and purchases at unapproved sites. These checks direct attention to concrete discrepancies, but their usefulness depends on accurate asset and site records and the timing of incoming card transactions.

Asset operating and cost records

Putting fuel beside parts and labor supports cost-per-asset analysis. Idle time, PTO, engine runtime, and distance can be reviewed with group and period filters, giving operators context for fuel use beyond the transaction itself.

Integrations and security

Track Star supports JSON, XML, and SOAP integrations, along with custom integrations and compatibility with QuickBooks and SAP. Its listed OEM connections include Ford Pro, GM, Stellantis brands, Tesla, Toyota, JLG, CAT, Volvo, Komatsu, CASE, and John Deere. The privacy policy says information is encrypted in transit and storage, access is limited to authorized personnel, and regular security audits are conducted.

When organization tracking is enabled and the user grants device permission, the mobile app can collect background location every two minutes. Organizations should account for that location collection when deciding how to configure mobile access.

Pricing

Track Star is paid, with custom pricing. Buyers should request a quote for their fleet and confirm the applicable terms before choosing it; no public plan or seat limits can be compared here.

Platforms

Track Star supports Android, iOS, web, and API access. Track Star Enterprise, Track Star Pro, and Track Star EAM have browser access; mobile app access is described for Enterprise and EAM. Users with app-access problems can submit a support ticket, and the company lists +1 800-661-3515.

Who it's for

Track Star identifies government, utilities, public safety, equipment rental, education, construction, field services, and commercial businesses among its audiences, from small operators to enterprises with thousands of assets. It is a strong fit for fleets that want fuel exceptions and usage tied to a wider asset-management record, including equipment that reports into the system. Buyers who need fuel-card transactions checked immediately after purchase should look elsewhere or confirm feed timing against their requirements.

Pros and cons

Pro: Existing fuel-card providers can remain in place, avoiding a switch just to import transactions.
Pro: Fuel, parts, and labor appear together on asset records, supporting per-asset cost assessment.
Pro: Exception rules cover location, tank capacity, shift timing, and approved sites, giving managers several specific reasons to investigate a purchase.
Con: Card-feed timing can delay mismatches by days, which limits its fit for rapid transaction intervention.
Con: Mobile background location collection is tied to organization tracking and device permission, a consideration for organizations setting mobile policies.

Alternatives

Radius Velocity is worth considering for UK customers who already have a Radius account and want a free option; its free plan is listed at no cost, with Android, iOS, and web support.

Fill-Rite FMS may suit buyers looking for a fuel-management subscription with Android, API, iOS, and web support, but it requires a hardware purchase and invites customers to estimate monthly cost rather than showing a software subscription price.

Eurowag Fuel Management is another paid Android, iOS, and web option for buyers prepared to contact the provider for a quote.

Multi Service Fuel Card may suit buyers prioritizing a fuel-card account with a free plan; its stated fees range from $0–$10 monthly for program maintenance, $0–$2 per fuel transaction, and 0%–3% of transaction amount for money fees.

iFleet Pay is a paid alternative with Android, API, iOS, and web support.

WEX Benefits is a paid Android, API, iOS, and web alternative with pricing by proposal.

AtoB Fleet Fuel Cards may be a better match for teams seeking prepaid cards: AtoB Unlimited is 3.00 USD per month, with a $35 account set-up fee and $3 per active card per month. The prepaid card has no spending limit beyond loaded funds and supports fuel and non-fuel purchases.

Fuelcard.ai is an alternative for buyers comparing per-fleet paid plans, with Starter at 29.00 USD per month, Pro at 79.00 USD per month, and Enterprise at 199.00 USD per month.

Verdict

Choose Track Star if your fleet wants to match card purchases to asset activity, investigate defined exceptions, and understand fuel cost alongside other asset expenses without replacing its card provider. Its central limitation is feed-dependent timing: fleets that require near-immediate transaction checks should favor a solution that meets that response window.
