Overview

Clubworx is a management platform for fitness businesses that combines class and appointment scheduling with membership billing, communications, and attendance tools. It is best suited to operators who want those functions in one system, from martial arts schools and gyms to yoga, dance, and aerial studios. Its free tier makes it approachable for very small businesses, but active-member caps and payment-provider arrangements deserve close attention as a business grows.

Key features

Bookings and attendance

Class, personal-training, and appointment timetables share capacity controls, with waitlists for full sessions. Attendance tracking and a self-check-in kiosk cover participation after a booking is made. This mix is useful for businesses running several session types; operators who only need a booking calendar may find the broader membership and communications package unnecessary.

Communications and member apps

Email, SMS, and notifications can automate reminders, campaigns, and updates, reducing routine manual follow-up. Optional iOS and Android member-app add-ons include bookings, payments, waitlists, family accounts, workout tracking, and proximity check-in. Because the apps are add-ons, businesses that consider a branded member app essential should confirm the associated cost before choosing a plan.

Payments and connections

Clubworx connects to payment providers rather than processing payments itself; in Australia and New Zealand, it uses Ezidebit for direct debit and card payments. That arrangement makes the payment setup an important part of the buying decision, particularly outside those two markets. Connections include Brivo access control, barcode or scanner point-of-sale integration, and Zapier; Mailchimp, Google Docs, Facebook, and Stripe are also named as connectable apps.

Security and data

Clubworx says it uses encryption for stored and transmitted data, regular security testing and monitoring, automated threat detection, and access controls. Personal information is stored in Australia and may be accessed or transferred overseas through service providers, partners, or cloud services, a consideration for businesses with specific data-location requirements.

Pricing

Clubworx has a free plan and a 15-day premium trial that requires no credit card. After the trial, customers can choose a paid plan or continue on the free plan. Active members are paying customers; prospects and cancelled members do not count. Exceeding a plan's active-member limit moves the customer to the next available plan, so growth can change the bill.

Free: 0.00 USD per free, billed Free forever. It includes up to 20 active members, one website, online booking, payment acceptance, emails and SMS, a self-check-in kiosk, and attendance tracking. This is a practical starting point for a small operation, but its 20-member ceiling leaves little room for growth.
Growing: 109.00 AUD per month, billed $109 AUD /mo. It raises the limit to 100 active members and adds retail point of sale and one-to-one onboarding with a customer success specialist. It fits a small paid operation that needs those additions, though it remains capped at 100 members.
Accelerating: 149.00 AUD per month, billed $149 AUD /mo. Up to 250 active members, multisite support for multiple clubs, and custom online forms and waivers make it the tier for expanding businesses operating across locations or needing tailored intake forms.
Established: 169.00 AUD per month, billed $169 AUD /mo. It removes the active-member cap and adds member assessments, workout tracking, advanced email and SMS sequences, and automatic late-payment notifications. It is the clearest fit for larger memberships or businesses that need those member-management and payment follow-up tools.

Paid plans include chat, email, and phone support, plus one-to-one onboarding with a customer success specialist. The free plan is less costly but capped at 20 active members; the paid tiers trade higher limits and added capabilities for monthly fees.

Platforms

Clubworx is available on Android, iOS, and the web. Member apps for iOS and Android are add-ons rather than a standard part of every plan.

Who it's for

Clubworx suits martial arts and combat-sports schools, gyms, personal trainers, yoga and Pilates studios, dance businesses, and pole and aerial studios that want scheduling and recurring memberships alongside attendance and automated communications. It is less compelling for a business that needs only a website or a standalone payment processor, since its focus is broader operations and payments run through connected providers.

Pros and cons

Pro: The free plan includes booking, payment acceptance, messaging, kiosk check-in, and attendance tracking for up to 20 active members, giving a small business several core operating tools without a subscription fee.
Pro: Paid tiers scale from 100 members to unlimited, with multisite support, custom forms, or advanced member and messaging tools added at higher levels.
Pro: Scheduling covers classes, personal training, and appointments, with capacity controls and waitlists for busy sessions.
Con: The active-member cap can trigger an automatic move to the next available plan, making growth a direct pricing consideration.
Con: Clubworx relies on payment providers rather than processing payments itself, so provider arrangements need to suit the business's location and needs.
Con: Member apps are add-ons, and personal information is stored in Australia with possible overseas access or transfer through service providers and cloud services.

Alternatives

PushPress is worth considering for a business that prefers a no-monthly-fee entry plan and is comfortable with its stated credit-card and ACH transaction fees; its free tier includes unlimited leads, admins, members, and staff. WellnessLiving may suit a studio that wants a paid plan with a stated annual-billing price and a one-staff-member limit, along with classes and appointments booking and client and staff apps.

OpenMat is another free-plan option, with no monthly subscription fee and transaction fees for eligible online payments. ClubReady is an alternative for businesses considering a paid web and mobile platform. GymMaster may suit a business comparing paid plans with a stated entry price for 100 current members. Zen Planner is another paid option for readers comparing software with a stated studio plan for 45 active members. Glofox is an alternative for businesses seeking a paid platform with booking, member management, payment processing, payroll, and reporting. Gymdesk may appeal to businesses comparing paid monthly plans and a free trial.

Verdict

Clubworx is a strong fit for fitness businesses that want bookings, recurring memberships, attendance, and automated communications in one operating system, with a free starting tier and paid plans that scale to unlimited members. The main reasons to look elsewhere are its member-count upgrade rule, add-on member apps, and reliance on external payment providers; those trade-offs matter most when pricing predictability or payment arrangements are central to the decision.
