Overview

ComplyFlow is a contractor compliance platform for organisations coordinating Workers, sites, and safety processes. It suits contractor-heavy operations that need more than a standalone inspection tool. Its broad coverage is the draw; per-Worker charges and custom-priced client access are the trade-offs.

Founded in 2009 and headquartered in Sydney, Australia, it serves sectors including construction, mining, government, healthcare, utilities, transport, and facilities. The system connects contractor records with site and safety workflows, which can reduce the need to manage those processes in separate tools.

Key features

Compliance across site work

Modules cover prequalification, workforce compliance, training and induction, site access, visitor sign-in, site documents, permits, inspections, plant and equipment, incidents, and risk management. Assignments, recurring schedules, and photo and signature evidence capture support recurring operational work as well as initial screening. This breadth is valuable when multiple teams need a shared compliance process; organisations looking only for digital checklists may find the platform broader than they need.

AI-assisted document review

AI can compare uploaded documents with configured requirements, identify missing information, and help draft review criteria. ComplyFlow says its team makes the decisions, so the AI is an aid to prequalification rather than a substitute for human judgment. The AI-reviewed prequalification charge applies only when a Client requests one.

Mobile access and integrations

Live Access checks Worker compliance at gates and records sign-ins. The Inspection app supports offline checklists and syncs findings once connectivity returns. Both are free native apps for iOS and Android, a practical advantage at sites where connectivity is unreliable.

Native connectors cover Microsoft, Okta, Yardi, TechnologyOne, KeyWatcher Australia, Unicard, Torus, intelliPermit, hsi, solv, Power BI, and CoreVision. The REST API reads every module and supports writes for staff, sites, work orders, inspections, and competencies; a separate MCP server is also offered. That write coverage is useful for connecting key operational records, though it does not extend to writes across every module.

Security and support

ComplyFlow says it has been ISO 27001 certified since 2019 and hosts data in Australian AWS data centres, encrypted at rest and in transit. Permission schemes can restrict access by module and site, with separate controls for personal information. External tokens inherit user permissions and can be read-only, giving administrators a way to limit integration access.

Implementation help spans system mapping through go-live, and a support team is available by phone. White-glove and enterprise support packages are separate options, so organisations needing that level of assistance should account for them as additional costs.

Pricing

ComplyFlow uses a freemium model, but free company registration is not the same as a free client platform. The charges can depend on which Clients and Workers need access and which prequalification services are requested.

Contractor company registration: 0.00 AUD per free. Contractors can register a company, add Workers, and hold documents at no charge. This is a useful starting point for contractors, but does not remove the per-Worker licence when a Worker is on site.
Contractor Worker licence: 35.00 AUD per year, billed AU$35 a year per Worker on site. One licence per Worker is valid with every Client on ComplyFlow, which can make a single licence useful across client relationships.
AI-reviewed prequalification: 100.00 AUD per year, billed AU$100 a year for standard AI-reviewed prequalification. The charge applies only if a Client asks for one, so contractors do not pay it by default.
Client platform: custom pricing. The pricing calculator lists annual unit prices and optional modules: the first 5 internal users are free, then $35/user/year; optional modules are $24/user/year per module; the first 5 sites are free, then $200/site/year. Contractor and Worker fees also apply. This modular structure lets clients see some cost drivers, but the total can rise with users, sites, modules, and contractor activity.

There is no single client-platform price to compare against a fixed subscription, so organisations should estimate their user, site, module, and contractor counts before deciding whether the system fits their budget.

Platforms

ComplyFlow is available on Android, iOS, web, and through an API. The free mobile apps support gate access and offline inspections, while the web platform covers the wider compliance system.

Who it's for

ComplyFlow is aimed at organisations that manage contractors across multiple sites or safety processes, including construction, mining, manufacturing, government, healthcare, utilities, transport, and facilities. It is best suited to teams that need contractor onboarding, ongoing compliance, and site operations connected in one system. A small operation needing only a narrow inspection workflow may be better served by a more focused product.

Pros and cons

Pro: Lifecycle coverage spans registration, worker compliance, site access, permits, inspections, incidents, and risk management, supporting connected processes rather than isolated checklists.
Pro: Free company registration and a Worker licence valid with every ComplyFlow Client give contractors a clear low-cost entry point before site activity incurs a licence fee.
Pro: Free iOS and Android apps include offline inspection checklists and gate compliance checks, addressing two distinct site workflows.
Con: A Worker on site costs 35.00 AUD per year, and AI-reviewed prequalification adds 100.00 AUD per year when requested; contractor costs therefore grow with paid services and workforce participation.
Con: Client access is custom pricing, with charges tied to users, sites, modules, and contractor and Worker fees, making total cost dependent on the deployment.
Con: API writes cover only staff, sites, work orders, inspections, and competencies, even though reads extend across every module.

Alternatives

For narrower inspection, safety, or checklist needs, these alternatives offer different scopes and price structures:

myInspections is a better fit for landlords or property teams focused on inspections: its Landlord plan is 8.00 USD per month and includes unlimited inspections and properties, one seat, templates, branded reports, and assisted setup.
SafetyCulture (now Mitti) is worth considering for teams that want a capped free tier for inspections and related tasks: its Free plan allows up to 10 seats, 300 AI credits per seat per month, and 5 active inspection templates.
Survtapp may suit teams prioritising forms and kiosk workflows over contractor lifecycle management; its free plan is capped at 3 users, 100 responses per month, 5 MB storage, 2 kiosk devices, 3 forms, and 120-day data retention.
Safesite is a safety-focused option with a free plan for unlimited members and guests, though reporting is restricted to the last 30 days.
Safety Reports is an alternative for teams seeking safety reports, checklists, and API access; its Premium plan includes JSAs, scans, forms, two additional admin licences, unlimited scan assets, unlimited digital custom checklists, and API and Observability.
Fluix is a paid option for teams that prefer a fixed monthly plan, with Crews at 29.00 USD per month for 5+ users and Operations at 49.00 USD per month for 15+ users.
IntouchCheck is another paid compliance-inspection alternative, with monthly billing by default and annual billing available by arrangement.
OrangeQC is a paid option for inspection operations with a published Starter plan at 250.00 USD per month, including 2 inspectors; additional inspectors are $50/month each.

Verdict

ComplyFlow is a strong fit for contractor-heavy organisations that need compliance, access, and safety workflows joined across sites. Its free company registration, mobile apps, and broad module coverage make it worth considering, while the per-Worker licence and custom client-platform charges are the main reasons to look elsewhere. Choose it when lifecycle coordination matters more than a simple, predictable subscription; choose a focused inspection tool when it does not.
