Overview

PandaDoc brings document creation and delivery together with internal review, electronic signing, payment collection and analytics. Templates, rich media and a drag-and-drop editor support agreement creation, while comments, real-time editing and approval workflows help teams review documents before they reach a customer. After sending, notifications, reminders and reporting show when documents are opened, viewed or completed.

This breadth is useful when documents are part of a repeatable sales or operations process. For occasional signature-only use, the creation, collaboration and workflow features may be more than necessary.

Key features

Document creation and collaboration: Templates and a visual editor support proposals, quotes and contracts; shared editing, comments and approvals keep internal review in the same workflow.
Signatures and activity tracking: Legally binding e-signatures and signature certificates are paired with real-time activity notifications and reminders, making it easier to follow documents through completion.
Payments and quoting: Product catalogs, Configure-Price-Quote and online payment collection connect commercial terms with the document workflow.
Integrations and developer access: Integrations include Salesforce, HubSpot, Pipedrive, Stripe, Slack, Canva and Dropbox, among others. An API, document embedding and developer documentation provide options for teams connecting PandaDoc to their own systems.
Mobile and security: The mobile app supports viewing, tracking, creating, signing and uploading. PandaDoc says it is E-SIGN, UETA and HIPAA compliant and SOC 2 certified; security features include two-factor authentication, SSO, signature certificates and GDPR compliance.

Pricing

PandaDoc uses a freemium model, with paid plans billed annually at the stated monthly rates. Its free plan is unusually permissive on users and storage, but the document and recipient caps make it better for light or occasional sending than for a busy team.

Plan	Price and terms	What it includes	Best fit
Free	0.00 USD per free	60 documents per year, up to 2 recipients per document, 5 templates, unlimited storage and unlimited users. Downloads are PDF only, not DOCX.	Teams exploring the workflow or sending a modest number of simple documents. The annual send allowance and two-recipient ceiling are the main constraints.
Starter	19.00 USD per month, billed annually	Unlimited documents sent, unlimited e-signatures and up to 5 templates.	Regular senders who need to remove the free plan's document cap while keeping a small template set. The plan does not add the Business plan's stated rooms allowance.
Business	49.00 USD per month, billed annually	Unlimited documents sent, unlimited e-signatures, up to 5 templates and up to 3 rooms.	Teams that need rooms in addition to unlimited sending and signing. The template ceiling remains 5.
Enterprise	Custom pricing	CPQ, workflow automation, smart content, single sign-on, team workspaces and API.	Organizations that need these advanced workflow, administration or integration capabilities.

The Free plan guide describes a 14-day trial, during which trial users can send up to 50 documents; business-email trial users can address up to 5 recipients per document. The support offering includes 24/7 email and chat support for Free and Starter, with onboarding services and premium support also available.

Platforms

PandaDoc is available on web, iOS, Android and API. Desktop browser support includes current Safari on Mac, Chrome and Firefox on Windows and Mac, and Edge on Windows 10. One important exception: accounts on pandadoc.eu cannot use the mobile app.

Who it's for

PandaDoc is a strong fit for sales and operations teams that send proposals, quotes or contracts regularly and want creation, review, signatures, tracking and payment collection in one workflow. Unlimited users and storage on Free lower the barrier to trying it with a team, but the 60-document yearly limit, two-recipient cap and PDF-only downloads restrict that plan for heavier or more flexible work. Teams that need unlimited sending can move to Starter; those that need rooms can consider Business, while API, SSO and workflow automation are Enterprise features.

Pros and cons

Pro: Creation, collaboration, signatures, tracking and payments share a document workflow, reducing the need to separate those steps across tools.
Pro: Free includes unlimited users and storage, making it possible to involve a team without seat or storage caps.
Pro: Integrations and API access give teams several routes to connect document work with sales and business systems.
Con: Free limits sending to 60 documents per year and 2 recipients per document, which can quickly constrain active customer-facing use.
Con: Free downloads are PDF only, so it is not the right fit when DOCX downloads are needed.
Con: Starter and Business both cap templates at 5, limiting template variety even as sending becomes unlimited.

Verdict

Choose PandaDoc if your team wants proposals, contracts and quotes to move through one shared workflow for creation, signing, tracking and payment. Its strongest reason to choose is that breadth, backed by a generous allowance for free users and storage. Look elsewhere if your work is signature-only, or if the free plan's yearly document cap, two-recipient limit or PDF-only downloads do not fit how you send documents.
