Overview

Microsoft Outlook Calendar is a calendar option for people who want scheduling alongside a full email service across web, desktop, and mobile. It is strongest for readers already using Outlook or other Microsoft services; one-way calendar sync makes it less compelling for anyone who needs changes to flow both ways between calendars.

Key features

Calendar and connected accounts

Outlook supports shared calendars and connects to Outlook.com, Gmail, Yahoo!, iCloud, and other mail services. That breadth suits people managing several inboxes in one place, though the calendar’s one-way sync is a meaningful constraint for those coordinating updates across services. The sync direction and sharing controls are not defined.

Video meeting support extends the calendar’s usefulness for scheduling calls. Microsoft Teams supports group calls of up to 300 people for up to 30 hours, but those are Teams limits, not a separate Outlook Calendar meeting cap.

Email, files, and security

Focused Inbox, sweep, snooze, and flags help prioritize and manage email, while Outlook scans links and attachments for threats. Sensitive-message encryption prevents forwarding. Access to Word, Excel, PowerPoint, and OneDrive files makes Outlook more useful as part of a Microsoft workflow than as a calendar-only tool.

Copilot can draft email and refine its tone, length, and clarity, but in Outlook it currently works only with outlook.com, hotmail.com, live.com, and msn.com addresses. That restriction limits its value for people connecting other email accounts.

Pricing

Outlook Free provides email and calendar for one person on web, desktop, and mobile, with 15 GB of mailbox storage, 5 GB of cloud storage, and core security features such as spam filters. It is a substantial starting point for personal use, but the storage allowance is finite and paid Microsoft 365 plans add ongoing support.

Microsoft 365 Personal costs 9.99 USD per month, billed monthly, for one person, use on five devices simultaneously, and 1 TB of storage. A one-month free trial is offered. It suits an individual who wants substantially more storage and Microsoft 365 access.

Microsoft 365 Family costs 12.99 USD per month, billed monthly, for one to six people, up to 6 TB of storage, and five devices per person. Its one-month free trial and shared allowance make it the better fit for a household that can use the multiple seats; a single user pays more than for Personal without needing that capacity.

Microsoft 365 Premium costs 19.99 USD per month, billed monthly, for one to six people and up to 6 TB of storage, with a one-month free trial. The stated plan terms do not specify device limits, so they offer less clarity for comparing it with Family.

Microsoft 365 Basic costs 19.99 USD per year, billed annually, for one person and renews automatically unless canceled. Office Home 2024 costs 179.99 USD per once for one PC or Mac. These lower-commitment alternatives have narrower stated terms than the monthly Personal and Family subscriptions, so compare the included storage and device details before choosing. Microsoft 365 subscriptions renew automatically unless canceled through the Microsoft account.

Platforms

Outlook is available on Android, iOS, macOS, and the web, with email and calendar access across desktop, mobile, and web apps. Microsoft 365 also works on PC, Mac, iPhone, iPad, and Android phones and tablets.

Who it's for

Outlook Calendar is a good fit for people who want a calendar integrated with email, file access, and Teams meetings, especially those already using Microsoft services. Its free tier can serve personal email and calendar needs without a subscription. People who rely on two-way calendar synchronization or want a calendar without the broader email and productivity bundle should look elsewhere.

Pros and cons

Pro: Free email and calendar include 15 GB of mailbox storage and 5 GB of cloud storage, giving personal users room to start without paying.
Pro: Shared calendars, multiple connected mail services, file access, and Teams calls bring communication and scheduling together.
Pro: Link and attachment scanning, spam filtering, and sensitive-message encryption add concrete security protections.
Con: Calendar sync is one-way, limiting flexibility for people who need updates to travel in both directions.
Con: Copilot drafting works only with specified Microsoft email addresses, not all connected accounts.
Con: Paid subscriptions automatically renew unless canceled, and Personal and Family require monthly billing.
