Overview

Whatfix is built for organizations that need to guide employees or customers through business software, rather than for individuals looking to improve one app. It suits teams managing adoption across several environments and needing analytics alongside in-product support. Its breadth is compelling, but custom pricing and feature caveats for self-hosting make it a deliberate enterprise purchase.

Key features

Guidance and onboarding

Whatfix offers Self Help, task lists, Smart Tips, Beacons, Pop-Ups, Launchers, and step-by-step Flows, as well as product tours, walkthroughs, and onboarding checklists. That range lets teams choose between contextual help, task guidance, and structured introductions instead of relying on a single tour format. A no-code builder and localization support content creation for different workflows and audiences; they are most useful where guidance needs to be maintained across a broad software footprint.

Adoption analytics

Product Analytics tracks user actions and application adoption, giving teams a way to assess how software is being used. Its Standard plan is included free with a DAP Web & Desktop plan, so it adds an analytics option to that purchase, not an independent free analytics tier.

Integrations and controls

The integrations directory includes Salesforce, ServiceNow, Confluence, Workday, Microsoft Azure, Amplitude, and Power BI. That breadth can help connect guidance to an existing enterprise stack, though Standard for Web & Desktop limits integrations to two. Pricing page features include SSO, IP whitelisting, audit logs, and data residency selection, which are relevant controls for organizations with access and governance requirements.

Pricing

Whatfix is paid, with custom pricing. Subscription costs combine a flat product and plan fee with user-license fees based on employee user counts or customer-facing monthly active users, so the audience and scale of a rollout matter to the bill. The free option is Product Analytics Standard at 0.00 USD per free, but it is available only with any DAP Web & Desktop plan; it is not a standalone free plan. A free trial is also offered.

DAP Web & Desktop Standard: custom pricing for employee- or customer-facing apps, with integrations limited to two. It is the narrower fit for teams that can work within that cap.
DAP Web & Desktop Premium: custom pricing for employee- or customer-facing apps, with cloud or self-hosted deployment. Self-hosting provides a deployment choice, but some Standard and Premium features may not be available in that configuration.
DAP Web & Desktop Enterprise: custom pricing for multi-app employee- or customer-facing plans. It is the option to consider when one app is not enough for the rollout.
DAP Mobile Standard: custom pricing for employee- or customer-facing apps. It is the mobile-specific Standard option; no additional plan limits are stated.

Standard customer support is available 24 hours a day, Monday through Friday. Plans also list a named Customer Success Manager and content author training, useful for teams that need implementation and authoring support rather than just software access.

Platforms

Whatfix spans Android, iOS, web, Windows, macOS, browser extensions, API, and self-hosted deployments. Whatfix Mobile supports native, React Native, Xamarin, Cordova, Flutter, and Ionic apps on Android and iOS. Desktop and virtual desktop support, including Citrix and Azure Virtual Desktop, extend its reach beyond browser-based software. This range is a practical advantage for organizations supporting mixed environments, but may be more platform breadth than a team with a single web app needs.

Who it's for

Whatfix is best suited to larger organizations rolling out software to employees or customers across multiple apps or device types, especially when they need in-product guidance, adoption measurement, and deployment options. Teams with a small integration requirement and a straightforward web workflow may find its enterprise scope and custom pricing harder to justify. Self-hosting buyers should confirm that the features they need are supported in that deployment.

Pros and cons

Pro: Guidance ranges from contextual tips to step-by-step flows, tours, and checklists, so teams can address different onboarding and task-support needs.
Pro: Mobile, desktop, and virtual desktop coverage suits organizations whose software estate extends beyond the web.
Pro: Product Analytics Standard is included free with a DAP Web & Desktop plan, tying adoption tracking to the guidance purchase.
Con: Custom pricing and per-user licensing make costs less straightforward to budget than a published per-seat price.
Con: Web & Desktop Standard allows only two integrations, which may be restrictive for teams connecting a larger software stack.
Con: Some Standard and Premium features may be unavailable with self-hosted deployment, limiting the appeal of that option for buyers who need full feature parity.

Alternatives

For customer self-service or support workflows rather than a broad adoption platform, consider Intercom: its Essential plan is 19.00 USD per month billed annually per seat/month and includes Fin AI Agent, Messenger, a shared inbox and ticketing system, and pre-built reports. Freshdesk is worth considering for a help desk team seeking a free starting point: its Free program is 0.00 USD per free for 1-2 agents for 6 months, while Growth is 19.00 USD per month billed annually.

ManageEngine ServiceDesk Plus is a freemium IT help desk option, with Standard at 13.00 USD per month billed monthly and Professional at 27.00 USD per month billed monthly, the latter adding asset management. For contact-center needs, Agentforce Contact Center offers paid plans starting at 125.00 USD per month with native voice, digital channels, and AI enhancements; Genesys Cloud CX is another paid contact-center option, with its first listed plan at 75.00 USD per month billed annually for voice contact centers and associate users.

Kustomer, Ada, and Re:amaze are paid alternatives. Browse more options in Digital Adoption Platforms, Product Adoption Software, or Customer Self-Service Software.

Verdict

Choose Whatfix if your organization needs one system for in-app guidance and adoption analytics across web, mobile, desktop, and virtual environments. Its mix of guidance formats and deployment options is the main reason to shortlist it. Look elsewhere if you need transparent pricing, a standalone free analytics plan, or assurance that self-hosting includes every Standard and Premium feature.
