Overview

Indico is an open-source event-management system for seminars, meetings, workshops and conferences, with room booking and event archives alongside conference workflows. It suits universities, research institutes and companies that can run their own software. Its breadth comes at the cost of installing and configuring a self-hosted instance.

Key features

Indico covers conference administration from registration and abstract submission to storing papers and materials, with participant badges as another part of the workflow. Registration forms, ticketing, attendee email and onsite check-in extend that coverage into event operations. For organizations that manage a continuing program of events, the ability to aggregate an institute’s events and retain their materials is a meaningful advantage over a tool focused on a single conference task.

Hierarchical categories, resource protections and event-level roles offer several layers for organizing access. That flexibility can serve institutions where departments or event teams share a system, but calls for configuration to match the organization’s structure.

The room-booking module supports delegated management, approval workflows and audiovisual equipment management. That is useful for organizations coordinating shared rooms, not just conference venues. Zoom integration lets participants join video conferences with one click.

Administrators can customize Indico through its configuration file and extend it with plugins. The maker lists plugins for Zoom, PayPal payments and Amazon S3 event-file storage. Authentication uses Flask-Multipass and supports compatible providers including LDAP and SAML. The HTTP Export API exposes category contents, events, rooms and bookings, giving organizations a way to access that information programmatically.

The project began in 2002; CERN adopted it as its event-management solution in 2004 and has financed its development since. The site says CERN uses Indico to manage more than 900,000 events and 200 meeting and conference rooms. The project provides installation instructions, and the team offers email, IRC, Matrix and community-forum contact options.

Pricing

Indico (open-source software): 0.00 USD per free. The free plan is self-hosted, and no other pricing plans are stated. There is no free trial because the software itself is free. This makes the license cost straightforward for organizations willing to operate an instance; it is not a hosted plan that removes deployment and configuration work. No seat, event or usage caps are stated.

Platforms

Indico supports Android, iOS, web, API and self-hosted use. The self-hosted deployment is central to the free offering, while the API exposes event, category and room-booking information.

Who it's for

Indico is a strong match for universities, research institutes and companies that need conference workflows alongside room scheduling and can manage their own installation. It is less suited to teams seeking a ready-to-use hosted service or a narrowly focused tool for one event task.

Pros and cons

Pro: Conference submissions, registration, materials, badges and event archives share one system, which can reduce fragmentation for organizations running recurring events.
Pro: Delegated room management, booking approvals and audiovisual equipment management address shared-space coordination as well as event planning.
Pro: Open-source software is free to use, with plugins, configurable settings and API access for organizations that need to adapt or connect their installation.
Con: Self-hosting means the organization must install and configure an instance rather than rely on a hosted service.
Con: Its broad roles, protections and workflows require organizational setup, making it more involved than a simple single-event tool.

Alternatives

For a hosted abstract-management option with a small free allowance, Fourwaves offers a free tier with 25 abstract submissions per year, unlimited registrations and events, and a 3% service fee; pick it when that hosted model and defined submission cap fit better than operating Indico.

ConfTool may suit organizers of smaller non-commercial events who can request its free license: its Standard plan is limited to 150 participants, local installation and no support. Choose it when those constraints are acceptable and a focused event setup is preferable.

Ex Ordo is a paid alternative with personalized quotes; consider it if you prefer to discuss a tailored offer with sales.

Linklings is a paid alternative whose pricing is discussed with the vendor; consider it if you want to explore its submission and review package with add-ons.

OpenWater Grant Management uses custom, usage-based subscription pricing; it may suit buyers seeking a quote based on individual usage needs.

Congressio offers a free plan for one active event, 100 submissions and three team seats, with forms, review, decisions, program and email. It is a better fit when those explicit limits suit a single event and a web-based service is preferred.

OpenConf has a Community Edition limited to three or fewer events and journals per calendar year, alongside a paid Plus Edition. It may fit organizers who want a self-hosted conference-submission option with a defined annual event cap.

SimplyConf offers a free self-hosted Core plan with unlimited events, submissions and users; consider it when those conference-workflow allowances matter more than Indico’s room-booking scope.

Verdict

Choose Indico if your organization needs conference administration, event records and room bookings together and is prepared to run a self-hosted system. Its strongest reason to choose it is that broad institutional workflow at no software cost; its clearest reason to look elsewhere is the installation and configuration responsibility that comes with it.
