Overview

The product spans routine association administration: residents can handle dues, documents, maintenance requests, votes, and amenity bookings, while boards and managers get accounting and governance tools. Managers with multiple communities also have portfolio-level reporting and workflows. That scope makes HOA Simplify a stronger candidate for organizations trying to consolidate work than for those seeking only one narrow function.

Key features

Accounting and elections

AI Smart Accounting can produce reports and budget alerts in response to natural-language questions, and record expenses, payments, and journal entries through chat. Assessment billing, financial statements, bank reconciliation, and budget tracking add useful coverage for day-to-day finances. The chat interface may help bring routine entries and questions into one place, though the platform fee on transactions is a material cost for communities processing frequent payments.

Election tools cover quorum tracking, proxy and ranked-choice voting, anonymous results, and an election archive. Those options are better suited to associations with formal voting needs than boards that only run occasional informal polls.

Resident and portfolio tools

The resident portal combines payments, document access, maintenance requests, voting, and amenity bookings, and can be installed as a PWA on mobile devices. Property managers get cross-HOA reporting, reusable dues templates, bulk resident imports, and a portfolio activity feed. This combination is most useful when both residents and management staff will use the system; smaller communities with simple needs may not benefit from the full breadth.

Migration, integrations, and security

AI Smart Import accepts CSVs from Buildium, AppFolio, PayHOA, or spreadsheets, maps columns automatically, and supports preview and rollback. That offers a practical migration path for teams moving records from those sources. Stripe payments and QuickBooks Online sync are built in; Slack, Google Calendar, Zapier, DocuSign, Plaid, and Twilio are marked coming soon, so they should not be treated as current connections.

Security features include AES encryption, two-factor authentication, IP allowlisting, session management, secure file storage, automatic backups, and access controls. The company says its formal compliance program is still being built as the platform matures, a significant consideration for organizations that require an established compliance program.

Pricing

HOA Simplify offers a 14-day trial and a free plan, with paid plans beginning at $99/mo under launch pricing. The paid tiers combine monthly prices with unit ceilings, so communities should compare their size against the cap as well as the included tools.

Basics: Custom pricing; 25 units. The smallest stated capacity may suit a compact association, but the plan's included features are not established here.
Community: $79.00 USD per month, billed $99/mo Launch Pricing; up to 50 units, basic accounting and billing, resident portal, document storage, standard reports, and email support. It covers the essentials for smaller communities but lacks the advanced accounting and board tools named on higher tiers.
Association: $119.00 USD per month, billed $149/mo Launch Pricing; up to 125 units, advanced accounting and billing, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. This is a more capable middle tier for larger associations that need board and vendor workflows.
Standard: $179.00 USD per month, billed $229/mo Launch Pricing; up to 200 units, advanced accounting, vendor management, board meeting tools, custom reports, mobile app access, and priority email support. It offers greater capacity than Association, but the listed feature set is otherwise similar.
Premium: $379.00 USD per month, billed $449/mo Launch Pricing; unlimited units, full feature access, advanced analytics, API access, custom integrations, priority feature requests, and priority email support. Its uncapped capacity and extension options are aimed at larger or more demanding operations.
Enterprise: Custom pricing and custom capacity, with a custom support plan.

Platform fees are 0.75% per transaction with a $5 minimum for PMC-managed HOAs and 1.25% per transaction for standalone HOAs, in addition to Stripe fees. That can outweigh a low monthly tier for communities with substantial payment volume. Plan support ranges from email support on lower tiers to priority email support on several tiers.

Platforms

HOA Simplify is available on Android, iOS, and the web. The resident portal's PWA installation supports mobile access, while mobile app access is specifically included in Association and Standard plan descriptions.

Who it's for

HOA Simplify is a good fit for boards and property managers that need financial administration, structured elections, resident self-service, and multi-community oversight in one system. It is less compelling for a small association that needs only basic billing, or for organizations that require a mature formal compliance program or a particular integration marked coming soon.

Pros and cons

Pros

Broad coverage: Accounting, elections, resident requests, document access, and amenity bookings reduce the need to split these tasks across separate tools.
Migration safeguards: CSV mapping plus preview and rollback gives managers a way to check imports before committing them.
Portfolio workflows: Cross-HOA reports and reusable templates are relevant advantages for managers overseeing multiple communities.

Cons

Transaction fees add up: The platform charges a percentage per payment on top of Stripe fees, with a $5 minimum for PMC-managed HOAs.
Lower tiers have tight caps: Community stops at 50 units, Association at 125, and Standard at 200; larger organizations must consider Premium or Enterprise.
Compliance program is developing: Organizations that need a formal, established program may prefer another fit.
Several integrations are not ready: Only Stripe and QuickBooks Online are described as built in; the other named connections are coming soon.

Verdict

Choose HOA Simplify if your board or management company will use its accounting, resident portal, election tools, and portfolio features together. The breadth and import safeguards are its clearest strengths. Look elsewhere if per-transaction costs are a concern, your community exceeds lower-tier unit limits, or an established compliance program is essential.
