Overview

HOA Messenger brings resident communications, association records, maintenance coordination, payments, and accounting into one service. It is best suited to U.S.-based HOA managers who want a broad administrative toolkit and a no-cost way to start. Its free tier’s 90-day visibility limit and lack of direct integrations with several major systems may make it a poor fit for associations that need longer record access or connected workflows.

Key features

Resident communication and operations

Managers can send individual or broadcast messages by push notification, SMS, or email, and residents can pay dues by credit card or ACH bank transfer. HOA documents are stored for private resident access. Managers can issue vendor work orders and receive automated updates as jobs are accepted, scheduled, and completed. The Mail feature adds a distinct option for notices that must go by post: upload a PDF for USPS printing and mailing, then monitor the request.

The service also supports violation tracking, maintenance requests, and a private mobile portal; a mobile app supports violation tracking. That range can reduce the need to juggle separate tools for routine resident administration. It does not, however, directly integrate with Entrata, Yardi, AppFolio, or QuickBooks, a meaningful drawback for communities already relying on those systems.

Accounting and bill pay

Premium adds double-entry accounting, budgeting, financial reports, chart customization, resident invoicing, and assessment tracking. Vendor bill pay supports electronic payments and paper checks, with approval workflows. These capabilities make the paid tier more relevant to managers who want accounting and payment administration alongside resident communications, rather than a communications-only tool.

Pricing

The Free plan costs $0 per month, is available indefinitely, and requires no credit card. It includes unlimited HOAs, unlimited residents, co-manager access, and 90-day visibility. The absence of a time limit makes it practical for a small association to start without a subscription, but the short visibility window is a real constraint for records that need to remain accessible beyond three months.

Premium costs $25.00 USD per month, billed monthly. It includes everything in Free plus double-entry accounting, vendor bill pay, budgeting, resident invoicing, assessment tracking, financial reports, document folders, a web resident portal, and intelligent auto response. A 30-day Premium trial requires a credit card, which is not charged until the trial ends. Choose Premium if those accounting and administrative functions justify a recurring fee; it does not solve the integration gap with the named property-management and accounting systems.

Admin costs $399.00 USD per month, billed monthly, and adds receivables and payables administration, a public-facing HOA landing page, monthly bank reconciliation, and AR/AP administrative support via chat to Premium. Admin Plan is priced at $319.00 USD per year and includes the same stated additions to Premium. The annual figure is substantially lower than the monthly Admin price, but the annual billing term should be weighed against the larger monthly commitment; these plans are for associations that want administrative support and reconciliation, not just software features.

Platforms

HOA Messenger is available on Android, iOS, and the web. Its mobile access is useful for residents and managers away from a desktop, while Premium adds a resident portal through a website.

Who it's for

HOA Messenger is strongest for U.S.-based associations seeking one service for messaging, documents, work orders, payments, and financial administration. The free tier can suit communities willing to work within 90-day visibility. Associations that need direct connections to Entrata, Yardi, AppFolio, or QuickBooks, or that need longer free-tier visibility, should look elsewhere.

Pros and cons

Pro: The indefinite free plan covers unlimited HOAs and residents, so an association can begin without a recurring fee or card requirement.
Pro: Messaging spans push, SMS, and email, and USPS mailing gives managers a way to send uploaded notices by post.
Pro: Premium combines double-entry accounting, reports, budgeting, bill pay, and approval workflows with resident-facing features.
Con: Free-plan visibility ends at 90 days, limiting its usefulness for records that need a longer accessible history.
Con: There are no direct integrations with Entrata, Yardi, AppFolio, or QuickBooks, which can hinder associations built around those systems.
Con: Admin’s $399.00 USD monthly price is a substantial step up from Premium for associations that need its support and reconciliation features.

Alternatives

For a broader comparison, browse HOA Management Software, HOA Accounting Software, or HOA Violation Management Software.

KindHOA is another freemium option with a permanent free plan; its Good Neighbor tier caps storage at 5 GB and active violations at 10, unlike HOA Messenger’s unlimited HOA and resident counts but 90-day visibility.
Vantaca is a paid alternative for buyers considering a web, iOS, or Android product.
FRONTSTEPS is another paid option across web, iOS, and Android.
Condo Control is worth considering for buyers seeking a paid service with a resident portal, mobile app, online payments, and maintenance requests.
Smartwebs may suit associations focused on violations, architectural workflows, work orders, communications, and resident and board portals.
TownSq offers a paid alternative with a free trial; its Pro plan is $90.00 USD per month with a 30-day trial for a one-year term that auto-renews annually, and covers up to 300 units in one community.
Condo Manager is another paid option for buyers to compare.
MGCOne is a paid alternative available on web and Android.

Verdict

HOA Messenger is a sensible choice for U.S. HOA managers who want communications, resident records, work orders, payments, and accounting in one service, especially if the indefinite free plan is enough to get started. Its breadth is the main reason to choose it; the 90-day free visibility cap and lack of direct integrations with four named systems are the main reasons to look elsewhere.
