Overview

GymSales is a fitness-focused lead management platform for clubs that need to coordinate prospect capture, outreach and sales activity. It is best suited to gyms with staff handling leads and an existing member system to connect; its main drawback is that pricing requires a sales conversation.

Key features

Gyms can collect visitor details through a business-branded iPad guest sign-in app or QR sign-in, with waiver submission built into the flow. This gives front-desk teams two ways to turn visits into usable prospects, though the dedicated guest app is for iPad rather than a general mobile sales workspace.

After capture, staff can use automated follow-ups, bulk campaigns and individual email, SMS or phone outreach. Prospect profiles, salesperson assignments and follow-up tasks help make ownership explicit, while team activity views and sales funnels help managers spot where prospects are progressing or stalling. Retention automation and separate tracking for secondary sales such as personal training and childcare make the system useful beyond initial membership enquiries.

Reports cover campaign performance, waiver compliance, daily activity, sales funnels, team performance and custom sales targets. That range is valuable for clubs tying marketing activity to sales execution; a business that only needs a basic contact list may find the workflow broader than necessary. Existing lead forms can connect through the GymSales API, and listed member-system integrations include ABC Ignite, ABC Glofox, Mindbody, Club Automation, Gym Master and Virtuagym, among others.

GymSales is web-based, and its terms set a 99.95% monthly uptime target, subject to exceptions such as planned downtime and third-party outages. The terms also say support requests are targeted for a response within one business day, with reasonable efforts to respond within two hours or less. The Data Processing Addendum provides for breach notification within 72 hours of awareness and incorporates standard contractual clauses for applicable cross-border transfers.

Pricing

GymSales uses paid subscriptions with custom pricing: prospective customers are directed to book a demo, and fees and included services are set out in a subscription agreement. Subscription fees are invoiced monthly and paid monthly in advance. Optional SMS is charged per credit sent, so clubs should account for messaging volume when comparing the subscription with their outreach needs.

There are no published tier prices or seat and lead caps to compare. That makes it difficult for smaller gyms to budget before speaking with sales, while clubs with several staff and established workflows may value a tailored package. WhatsApp is described as coming to GymSales, so it should not be treated as a current messaging channel.

Platforms

GymSales supports web, Android, iOS and API access. Its web-based workflow is intended to let staff respond to enquiries from different locations, while the ABC GymSales Guest Waiver iPad app handles branded guest details and signatures. The API can connect existing lead capture forms. The listed platforms do not establish that every sales function is available through each mobile app.

Who it's for

GymSales is a strong fit for fitness clubs with a steady flow of enquiries or walk-in guests, a team that needs clear follow-up ownership, and a member-management system among its integrations. Clubs tracking personal training or childcare sales can also keep those follow-ups alongside membership prospects. A solo operator seeking a low-commitment, publicly priced tool—or a business that does not need fitness-specific waivers and reporting—should compare simpler or more transparent options.

Pros and cons

Pros: Branded iPad and QR guest capture both support waiver submission, giving clubs flexible ways to record visits.
Pros: Automated and one-to-one outreach, task assignment and team views connect lead handling with sales accountability.
Pros: Reports span campaigns, waivers, activity, funnels and custom targets, with separate tracking for secondary sales.
Cons: Custom pricing and a demo-led process make costs harder to assess before engaging sales.
Cons: SMS carries a per-credit charge, so campaign costs can depend on sending volume.
Cons: The guest waiver app is specifically for iPad, and WhatsApp is not yet available.

Alternatives

BuddyPT Fitness CRM is worth considering for a smaller operation that wants a free starting point: its free Starter plan covers 10 clients, while Growth is $35.00 USD per month for 25 clients. GymSales is the more directly lead-and-waiver-oriented fit when club sales workflows and member-system integrations matter.

Cratio CRM may suit teams looking for a general CRM with a published entry price: Pro costs 799.00 INR per year with a five-user minimum and 18% GST extra. GymSales is more specifically built around fitness lead capture and sales reporting.

GymShakti is another paid option for gyms, with a free trial and member-based pricing; GymSales is the alternative when lead follow-up and sales-team reporting are the priority.

WinChilla is another paid option to compare for fitness businesses.

ClubOS may suit clubs seeking CRM functions such as prospect engagement, onboarding, retention and analytics; GymSales stands out when branded guest waiver capture and its specified reporting areas are central.

GymCRM offers a free trial and a launch offer at 299.00 INR per month, making it a potential alternative for gyms comparing lower-cost entry options; GymSales centers more explicitly on lead communication and campaign reporting.

GymLeads may fit clubs that want a published $149.00 USD monthly license with unlimited users, leads and locations. GymSales is worth comparing if its waiver workflows, custom targets or listed member-system integrations better match the club.

LoopSpark is another option for gyms comparing software for their operations.

Verdict

GymSales is a good choice for fitness clubs that need a coordinated system for capturing guests, assigning sales follow-up and measuring team performance, especially when an existing member platform is supported. Its fitness-specific workflows are the clearest reason to choose it; look elsewhere if public pricing or a free entry tier is essential.
