Overview

Intaker brings lead capture, follow-up and pipeline management into one system, with features aimed specifically at law firm intake. Firms can qualify leads, route matters and book appointments, while prospects can reach the firm through chat, text, LSA, WhatsApp, Meta and phone. Intaker says more than 2,000 law firms use the platform; that scale claim does not change the practical need to assess its pricing and account rules against a firm’s own workflow.

Key features

Website chat captures case type, urgency and location, and can schedule meetings, connect calls or sign clients in chat. That makes it more than a basic contact form for firms that want to move an inquiry toward a conversation or engagement in the same channel.

Three AI agents handle different lead tasks: Arthur works with LSA leads, Owen prepares cold leads for calls, and Jane captures and qualifies inbound SMS leads. Their defined roles may help firms divide intake work by source, while a communications hub puts chat, text, email, calls and tasks in one workspace. Shared-number team texting keeps team messages on a common number.

Visual pipelines track lead progress, and routing can assign leads by case type, availability or location. No-code workflows can trigger texts, emails, tasks, pipeline updates, follow-up sequences and live call connections. Together, those tools give firms ways to structure repeatable intake and follow-up without requiring a separate coding step. Intaker advertises 40+ native integrations and 3,000+ Zapier connections, including case-system integrations.

The iOS and Android app supports notifications, follow-up and pipeline management, extending those tasks beyond the web platform. A Help Center covers billing, chatbots, lead management, integrations and account settings, with a contact-support option.

Pricing

Intaker’s Enhanced Services plan has custom pricing: it is a monthly subscription, with fees varying by usage, and no refunds. That usage-based structure may suit firms whose needs vary, but it makes cost less predictable than a fixed subscription. The free plan means there is a free option, but no included features or limits are given for it, so firms should not assume it covers a particular workload.

Before committing, firms should also account for two operating terms. Each login may be used by only one person, so teams cannot share credentials. Organizations handling protected health information must execute Intaker’s non-negotiable Business Associate Agreement to enable the HIPAA-compliant version.

Platforms

Intaker is available on web, Android and iOS. Its mobile apps provide notifications, follow-up and pipeline management. The service is for people aged 13 or older.

Who it's for

Intaker is a strong fit for law firms managing leads from several channels and wanting routing, automated follow-up, appointment booking and pipeline visibility in one workflow. Firms handling PHI can use the HIPAA-compliant version only after executing the required agreement. It is less suited to teams that depend on shared logins or buyers who need predictable pricing before discussing their usage.

Pros and cons

Pros: Intake spans chat, text, LSA, WhatsApp, Meta and phone, giving firms multiple ways to reach prospects.
Pros: Routing, visual pipelines and no-code automation support structured handoffs and follow-up by case type, availability or location.
Pros: Mobile apps support notifications and pipeline work on iOS and Android, while the hub combines several communication channels.
Cons: Monthly fees vary with usage and are nonrefundable, which limits cost certainty.
Cons: One login per person rules out shared credentials, a constraint for teams accustomed to common accounts.
Cons: HIPAA-compliant service requires a non-negotiable Business Associate Agreement, adding a required step for organizations handling PHI.

Alternatives

Zayda is worth considering for a smaller operation seeking a free starting point: its Free plan supports one user, one pipeline and 250 records, with email and WhatsApp lead response plus mobile apps. Law Ruler may fit a firm that wants a stated starting capacity of up to three users and 10,000 contacts, with subscription pricing billed monthly on an annual term and a 15% saving for annual prepayment.

Lawmatics is another paid option, with an Essential plan that includes 500 contacts, intake, lead management, calendaring, custom forms, e-signature, SMS and task management. Reflekt Legal may appeal to a solo user wanting a free call-focused plan: Free Solo includes 30 calls, call transferring and appointment scheduling. IntakeAI offers a free Starter plan for one chatbot and 50 conversations per month, with lead capture, email alerts, Calendly booking and custom branding.

Miranda is a paid web-based alternative. CaseGen offers a custom plan billed month to month and per call, with pricing customized to call volume and an implementation fee based on setup. Juryo is another paid web-based alternative. For a broader comparison, see Legal Intake Software.

Verdict

Choose Intaker if your law firm needs to coordinate multi-channel intake, automated follow-up and lead routing in one system. Its most compelling advantage is the breadth of its connected intake workflow; its usage-based, nonrefundable fees and one-person login limit are the main reasons to look elsewhere.
