Overview

Three apps divide the work: Change portfolio covers organisation-wide initiatives, Change plan supports change managers, and Change mission gives change agents a way to gather observations. Together, they connect strategic intent, project planning and feedback from people affected by change.

The product is built by Geert Barandat, who says he has led IT programmes, portfolios and change in Belgian organisations for more than twenty years. Cohentis is headquartered in Lembeek (Halle), Belgium.

Key features

Benefits and adoption

Change portfolio maps benefits to initiatives and tracks each benefit's starting point, target and latest measurement. This helps portfolio owners assess whether work is moving toward intended outcomes rather than treating completed initiatives as proof of impact. Users can set leading indicators, target values and measurement rhythms; the app schedules measurements and flags what is due or overdue, making follow-up more visible.

Planning and evidence

Change plan combines a risk register with a timeline for sub-plans, milestones, measurement points and dependencies. That is useful when managers need to coordinate delivery and keep risks connected to the schedule. Cohentis also links actions to risks, insights to conversations and decisions to the reasons behind them, providing a trail from observation to response.

Field listening

Change agents can open mission files without an account, record what people say on a device and return findings as a file. Files can be used on a phone, and the apps require no installation. That lowers the access barrier for field contributors, though this workflow is not a direct measure of change fatigue: Cohentis instead shows initiatives and group-level feedback so teams can identify whom to speak with.

Privacy and AI

For Free and Pro, project data stays in a file on the user's device; no account or server holds the change project. Cohentis says it does not track user behaviour, and anonymous usage counts do not include project data. There is no AI inside the app. Users may use their own AI for an initial portfolio fill, but must confirm each line, keeping that assistance separate from automatic in-app analysis.

Pricing

Cohentis uses a freemium model, with a free option and paid plans. The one-person Free plan costs 0.00 USD per free and includes Change plan, Change portfolio and Change mission, but is capped at one person running one change project. It is a practical way for an individual to try the connected workflow, not a plan for concurrent projects or a team.

Pro costs 20.00 USD per month, billed per change manager per month. One licence covers all three apps; returned mission files can be applied to the plan, and reports are unwatermarked. It also includes a strategy-to-front-line portfolio image. The per-manager billing makes the cost rise with the number of change managers, while the stated device-file storage model preserves the Free plan's project-data approach.

Enterprise is custom pricing, billed on request. It adds own-server hosting, file or own-database storage, single sign-on and apps styled for the organisation. It is the relevant step up for organisations that require those hosting or identity options, rather than simply a larger allowance on the published Pro rate.

Platforms

Cohentis supports Android, iOS, web and self-hosted deployment. Mission files can be used on a phone, and the apps require no installation. Enterprise supports own-server hosting; Free and Pro keep project data in a file on the user's device.

Who it's for

Cohentis names portfolio managers, directors, department heads, project and programme managers, change managers and change agents as its audience. Its three-app structure suits organisations that want portfolio-level benefits, manager-led planning and frontline observations connected in one change process. It is less suitable when the priority is a direct fatigue metric or when a single project must be shared by a team on the one-person Free plan.

Teams can contact Cohentis to discuss their needs or request a demo through its contact form.

Pros and cons

Connected outcome tracking: Benefits, initiatives, indicators and measurements sit in a linked workflow, helping teams follow intended outcomes rather than just activity.
Traceable planning: Risks, conversations and decisions are linked to actions and evidence, useful for managers who need to understand why a plan changed.
Low-friction field input: Agents can use mission files without accounts, which suits contributors who should not need full app access.
Narrow Free plan: One person can run only one change project, limiting its value for teams or parallel programmes.
No direct fatigue measure: Teams must interpret group-level initiatives and feedback and decide whom to engage, rather than relying on a fatigue score.
Device-file model has trade-offs: Keeping Free and Pro project data off accounts and servers supports privacy, but teams needing own-server or database storage must consider Enterprise.

Alternatives

Change Management Software is the broader category to browse when comparing tools across this field.

Giva ChangeManager is a paid alternative with a free trial and Android, API, iOS and web support. Its Professional plan is 76.00 USD per year, billed annually, and covers up to 10 agents, 1,500 end users or customers, three service desks and three email inboxes; choose it when those service-desk and agent limits fit the need better than Cohentis's change-planning workflow.
Avanqi has a free web plan for evaluation, limited to one active change project and one active member, with core portfolio, stakeholder and document workspaces and community support. Its Team plan costs 49.00 USD per month; choose it when those workspaces suit the team better than Cohentis's three-app approach.
ChangeFolio offers a free web plan with one user, one active company and 1,000 active stakeholders, plus a free trial. Its Solo plan is 65.00 USD per month; it may suit readers prioritising those stated account and stakeholder limits.
OCM Solution is a web option with a free plan and free trial; its view-only Guest License(s) plan costs 5.00 USD per month per guest, and OCM Library costs 10.00 USD per month. Consider it when guest viewing or the library plan is the relevant fit.
ChangeGate is a paid web alternative.
Changewiser is a paid web alternative; its One program engagement plan has custom pricing based on transformation scope rather than employee headcount.
AMIGO is a freemium option with a free trial and API and web support. Contributor costs 20.00 USD per month per named user for task execution, billed annually; Manager costs 85.00 USD per month per named user, billed annually. Choose it when those named-user task roles are a better match.
AssetSonar is a paid web option with ITAM, ITSM and Advanced Software Asset Management plans, each requiring a minimum of 100 assets.

Verdict

Cohentis is a strong fit for organisations that need to carry change from portfolio intent through manager planning to frontline feedback, with benefits and measurements tied to the work. Its clearest reason to choose is that connected evidence trail; its clearest reason to look elsewhere is the one-project Free cap and the absence of direct change-fatigue measurement.
