Overview

The software brings invoices, bills, banking, expenses, projects, reporting and online payments together. Bank feeds and automated reconciliation can reduce manual bookkeeping, while accountant access supports working with an accounting professional. Foreign transactions are supported with exchange rates applied automatically in real time.

Zoho Books has dedicated iOS and Android apps; changes sync across devices, with automatic cloud backup. Transactions are protected with two-factor authentication and SSL encryption, and credit card information is not stored. Support runs Monday to Friday, 9 am to 9 pm ET, with email, voice and chat options varying by plan.

Key features

Inventory is a meaningful advantage over tools centered on invoicing alone. Stock tracking, reorder alerts, warehouses, serial numbers, batch tracking and bin locations can serve businesses that need to keep accounting and stock operations in the same workflow. The limits on invoices, bills, expenses and receipt autoscans still matter: higher-volume businesses may need to move up a tier.

Receipt capture is available across plans, but monthly autoscans range from 50 on Free to 3 million records or rows on Ultimate; that Ultimate figure is a record allowance, not an autoscans quota. The free plan also allows scheduling five reports. Professional and higher plans add team chat, voice, video and screen sharing, useful for teams that need collaboration within their accounting workflow.

Pricing

The freemium plan is available indefinitely while annual revenue remains at or below $50K. Free includes one user and one accountant, 1,000 invoices and 1,000 expenses annually, and 50 receipt autoscans per month. Those caps make it a practical starting point for a small operation within the revenue limit, but not a fit for a growing business that exceeds it.

Standard: $15.00 USD per month with annual billing, or $20 monthly. It allows three users, 5,000 invoices and 5,000 expenses annually, and 200 receipt autoscans per month. This is the first paid tier for a small team needing more capacity than Free.
Professional: $40.00 USD per month with annual billing, or $50 monthly. It raises the allowance to five users, 10,000 invoices and 10,000 bills/expenses annually, with 200 receipt autoscans per month. It also brings team collaboration features.
Premium: $60.00 USD per month with annual billing, or $70 monthly. Ten users, 25,000 invoices and 25,000 bills/expenses annually, and 1,000 receipt autoscans per month suit a busier team with higher throughput.
Elite: $120.00 USD per month with annual billing, or $150 monthly. It keeps the 10-user cap, but raises annual invoices and bills/expenses to 100,000 each; receipt autoscans remain 1,000 monthly. Online sales channels are available on Elite.
Ultimate: $240.00 USD per month with annual billing, or $275 monthly. It supports 15 users, 100,000 invoices and 100,000 bills/expenses annually, and 3 million records/rows. It is the highest listed tier for organizations needing the larger user allowance and record capacity.

Zoho Books offers a 14-day free trial. The subscription is pay-as-you-go with no contract commitment, and subscriptions can be cancelled. The lower tiers trade team size and transaction capacity for lower cost, so compare the annual and monthly prices against the limits your business actually needs.

Platforms

Zoho Books is available on iOS and Android. The dedicated apps sync changes across devices and include automatic cloud backup, supporting mobile access alongside the accounting features.

Who it's for

Choose Zoho Books if you need accounting functions plus inventory controls, or want mobile access and accountant collaboration. The free tier can suit a solo operator or micro business under the $50K annual revenue ceiling. Businesses with higher revenue, more users, or greater invoice and expense volume should weigh the paid tiers. It is less suitable if your business cannot operate within the free limit and the paid plan’s seats or quotas do not match its workload.

Pros and cons

Pro: Inventory goes beyond basic stock counts, with warehouses, reorder alerts, serial and batch tracking, and bin locations.
Pro: Bank feeds, automated reconciliation, receipt capture and accountant access cover several recurring bookkeeping tasks.
Pro: The free plan has no stated end date for eligible businesses, and includes an accountant seat alongside its user seat.
Con: Free access ends as an option once annual revenue exceeds $50K, and its one-user allowance, five scheduled reports and 50 monthly receipt autoscans are restrictive for larger workflows.
Con: Annual invoice and expense quotas and user caps vary sharply by plan, so increased volume or team size can require a higher subscription.
Con: Support channels vary by plan, so email, voice or chat access is not uniform across the service.

Verdict

Zoho Books is a strong fit for businesses that want accounting and detailed inventory controls together, with mobile access and a free starting tier for eligible small operators. Its main reason to choose it is that breadth; look elsewhere if the $50K free-plan ceiling, plan quotas or seat limits do not fit your business’s scale.
