Overview

OnStage combines service preparation with team coordination: a church can plan events and rehearsals, assign people to positions, prepare song materials, and keep event-related conversations together. That breadth is its central advantage for teams currently juggling these tasks separately. Churches that need only a presentation tool may find the wider planning workflow unnecessary.

The company says the product was conceived in 2023 and its first version released in February 2025. It is headquartered in Santandrei, Romania. Antonio Vinter is CEO and Co-Founder; Emima Vinter, Emanuel Farcău, and Beniamin Szilagyi are also co-founders.

Key features

Events, schedules, and assignments

Teams can create services and rehearsals, assemble setlists, assign people to positions, and reuse event templates. Volunteer scheduling, a service calendar, reminders, and team notifications round out the coordination tools. Templates can cut down repeated event setup, while scheduling and assignments make the platform more relevant to teams managing rotating participants than to users who only need to organize songs.

Song materials and communication

The song library handles chords, lyrics, song structures, PDF imports, annotations, key changes, and capo settings. This gives teams room to prepare charts and performance notes alongside setlists; importing PDFs is also included on Starter. Team and event chats support attachments, polls, replies, and read receipts, making conversations part of the service workflow rather than a separate planning component.

Calendar and offline use

OnStage can sync events, rehearsals, and blockouts to Google Calendar, with sync on iPhone, iPad, and Android. Its app also supports offline access during rehearsals and services, a practical safeguard when connectivity is unreliable. Calendar sync is limited to the stated mobile platforms rather than macOS or web.

Pricing

Starter is free forever, requires no card details, and does not expire. It permits up to 5 members, 200MB of storage, and 5 events per month, with reminders, chat, annotations, and PDF song imports. That is a credible way for a small team to establish a workflow, but five monthly events and 200MB can quickly constrain an active church.

Paid plans share the same features and vary by member, storage, and event allowances. Monthly prices are:

20 Members: $10 /mo, 20 members, 2GB storage, and 25 events per month.
50 Members: $26 /mo, 50 members, 4GB storage, and 100 events per month.
85 Members: $50 /mo, 85 members, 8GB storage, and 150 events per month.
150 Members: $60 /mo, 150 members, 11GB storage, and 200 events per month.
400 Members: $100 /mo, 400 members, 32GB storage, and 400 events per month.
1000 Members: $135 /mo, 1000 members, 64GB storage, and unlimited events.

Yearly billing is available at 15% off for paid plans. The 20-member tier is the entry point for teams that outgrow Starter; larger groups should match their roster and event volume to the relevant caps. All paid sizes have the same feature set, so the choice is about capacity rather than unlocking different tools.

Platforms

OnStage is available on Android, iOS, macOS, and web. Google Calendar sync is specifically available on iPhone, iPad, and Android. The help center offers task-based guides and directs users to support for further help.

Who it's for

OnStage is best suited to churches that need service planning, volunteer assignments, song preparation, and team communication together, especially where rehearsals and recurring events make templates and calendar sync useful. A small group can start without a card, but teams above five members or planning more than five events monthly will need a paid size. Churches seeking a narrower presentation workflow or a different kind of church-management tool should compare alternatives.

Pros and cons

Pro: Event planning, participant scheduling, song preparation, and chats share one workflow, reducing the need to split those tasks across separate tools.
Pro: Starter has no expiry or card requirement, so small teams can use it beyond a short evaluation period.
Pro: Offline access for services and rehearsals and mobile Google Calendar sync support practical coordination away from a desktop.
Con: Starter's 5-member, 200MB, and 5-event monthly limits are restrictive for larger or frequently active teams.
Con: Paid tiers scale by capacity rather than features, so users pay for more room without gaining a different set of capabilities.

Alternatives

Church Scheduling Software and Worship Planning Software are useful starting points for comparing tools by category. Choose TheFaithApp if its prayer-room focus and Android, iOS, and web availability better match your ministry; its Prayer Rooms Plus plan is $19.00 USD per month and includes video rooms, recordings, global rooms, and advanced room controls, with 3 advanced room sessions before upgrading. Choose WorshipTools Presenter if presentation is the priority: its free plan offers 500 MB cloud storage, 10 users, 15 items per service, and unlimited services and songs, across Android, iOS, Linux, macOS, and Windows.

ChMeetings is worth comparing if you want a broader church-management option; its free plan supports 50 people and 50 donations per month, and it has a free trial. ChurchBuddy is a simpler free alternative with no ads, premium tiers, or add-ons. Planning Center may suit churches that prefer its separate free Calendar, People, and Services offerings. ChurchSoftware.com Groups is another free option for eligible 501(c)(3) organizations, with core church-management tools and no fees or trials. B1 Checkin is aimed at churches looking for an all-included, no-tier approach with no per-member pricing. Church Planner is a paid alternative at 9.99 CAD per month, combining worship planning and scheduling with attendance, reports, a song library, and ChordPro charts for up to 80 contacts.

Verdict

Choose OnStage if your worship team wants one place for service plans, people assignments, song materials, and team conversations, and its member and event allowances fit your congregation. The no-expiry free tier makes a low-commitment start possible; look elsewhere if you need more than five monthly events without paying or want a tool focused solely on presentation.
