Overview

Auction Flex is auction-management software for auctioneers handling live sales, online auctions, or both. It suits operators who need cataloging and sale-day tools alongside online bidding, particularly those already using HiBid.

Its broad operational scope is a strength, but the right plan depends on whether work happens on desktop workstations or in AuctionFlex 360’s web-based setup. HiBid usage fees also add to the software cost.

Key features

Cataloging, sales, and bidding

Auction Flex covers cataloging, clerking, cashiering, accounting, inventory, mailing lists, and multi-parcel auctions. That breadth makes it relevant beyond bidding alone: teams can use it to manage much of the work surrounding a sale. Auction Flex v10 adds configurable item types, bulk editing, and AI-powered cataloging assistance, useful for organizing large or varied catalogs. AuctionFlex 360 offers web-based cataloging and sales management with HiBid integration.

Supported formats include internet absentee bidding, internet-only auctions, and webcast live internet bidding, as well as automatic bidding. HiBid provides a private-label web service and bidding portal, and auctions can be uploaded to the site with one click. Auction Flex can also upload auction details to AuctionZip.com using the auctioneer’s AuctionZip login.

Integrations and payments

Integration options include QuickBooks, shipping, credit-card processing, mailing lists, RF modems, driver-license check-in, and touchscreen kiosks. Global Payments handles integrated payment processing after approval and setup. Auction Flex and HiBid state that they handle PCI coverage on the customer’s behalf for this processing; cards may be tokenized and stored securely through the processor, with access potentially restricted by user role. Those are useful safeguards, but payment processing requires setup and approval.

Phone support runs Monday through Friday, 9:00 am to 6:00 pm EST; a help center and bookable training are also available.

Pricing

The free option is limited to 25 GB of cloud storage, not a full auction-management plan. Paid plans are billed monthly, beginning at $85.00 USD per month.

Plan	Price	What it fits
1 Workstation	85.00 USD per month	One workstation with desktop software for cataloging, clerking, and closing.
Solo	95.00 USD per month	One user on AuctionFlex 360’s web platform.
2 Workstations	120.00 USD per month	Two workstations for simultaneous cataloging and clerking.
Team	145.00 USD per month	Two to five users on AuctionFlex 360.
3 Workstations	155.00 USD per month	Three workstations for cataloging, clerking, and checkout stations.
4 Workstations	190.00 USD per month	Four workstations for a high-volume team setup.
Business	195.00 USD per month	Six to nine users on AuctionFlex 360.
Enterprise	295.00 USD per month	Unlimited users with centralized access controls.
Unlimited workstations	550.00 USD per month	Unlimited workstations.

The entry desktop plan is the lowest-cost paid route, but it covers just one workstation. Solo gives one user web access for $10 more per month; teams needing multiple web users can move to Team or Business, while the workstation plans explicitly scale desktop capacity. Enterprise removes the user cap, and unlimited workstations is the highest-priced option for operations needing that desktop capacity. HiBid usage fees remain separate: a 2% auction fee, $0.25 per unique bid capped at $150 per auction, and a $75 webcast setup fee. A 30-day trial is offered.

Platforms

Auction Flex supports Android, iOS, Linux, macOS, web, and Windows. Auction Flex Mobile supports cataloging and clerking on phones and tablets through native Android and iOS apps or browser access. The desktop and web products give operators different ways to manage catalog and sale workflows.

Who it's for

Auction Flex is best suited to auction businesses that need a connected operational system for catalogs, sale-day work, and multiple bidding formats, especially those using HiBid or requiring workstation and user plans that scale. A small operator can start with one workstation or one web user; larger teams can pay for more capacity. It is a weaker fit for buyers who want a free full-featured plan or whose costs need to avoid per-auction and webcast charges.

Pros and cons

Pros: Covers cataloging through cashiering and accounting, reducing the need to treat auction operations as bidding alone.
Pros: Supports absentee, internet-only, and webcast live bidding, plus automatic bidding, for operators running multiple sale formats.
Pros: Offers both workstation and web-user scaling, with mobile cataloging and clerking for Android and iOS.
Cons: The free option provides only 25 GB of cloud storage, so operational use requires a paid plan.
Cons: HiBid fees can materially add to software costs, including the 2% auction fee and webcast setup charge.
Cons: Global Payments processing involves approval and setup before integration keys are provided.

Alternatives

Auction Software is a useful directory starting point for comparing auction products more broadly.

Choose BiddingOwl if you want a free service for traditional silent or live auctions and related event services, rather than Auction Flex’s paid workstation and web-platform plans.

Auctria is worth considering for a freemium event setup: its Explorer plan is free per year and caps annual income at $10,000, bidders at 250 per event, and team members at three, with a 1% credit-card fee.

Choose AuctionMethod if you want a paid web auction platform with a Growth plan at 100.00 USD per month that includes unlimited auctions, bids, lots, items, photos, and admin users; it also has a one-time $25 account activation fee.

BidPro offers a free bidder plan for viewing auctions and items, registering, and bidding; consider it if you need bidder access rather than Auction Flex’s auction-operations suite.

32auctions may suit a small online-only sale: its free plan allows up to 20 items and one image per item, with unlimited bidders and basic donor management.

Bidpath is another paid option with web, iOS, and Android platforms.

Auction Experts is a paid alternative with a Professional plan at 720.00 EUR per month and implementation from €2,450 one-off.

Bidsquare Cloud is another paid alternative, available on web, iOS, and Android.

Verdict

Choose Auction Flex if you run auctions across live and online formats and want cataloging, clerking, checkout, and related operations under one system, with plans that expand from a single workstation or user. Its combination of operational coverage, bidding options, and HiBid integration is the case for buying it. Look elsewhere if a free full-service plan matters or if HiBid’s transaction and webcast fees make the total cost unattractive.
