Overview

Appspace Workplace is best suited to organizations that need to reach employees across offices, shared spaces, and collaboration tools. Its breadth is a strength, but the free account is better for a tightly scoped pilot than a broad rollout.

Messages can reach employees through an Employee App, intranet, Slack, Webex, Microsoft Teams, email, and digital signage. That mix gives communications teams options for employees who work at desks as well as those who rely on workplace displays. The Employee App can also connect to space reservation and visitor management, making Appspace a wider workplace platform than a messaging tool alone.

Key features

Publishing and content controls

Appspace combines email publishing, mobile access, audience targeting, and content approvals. Customizable templates can be aligned with brand guidelines and distributed across channels, a practical advantage for teams that want consistent messaging without separately rebuilding every item for every destination.

Intranet and signage

The intranet brings project files, announcements, and company discussion into one hub. Digital signage covers conference rooms, meeting areas, public spaces, and connected display walls, extending communications to places where employees may not be checking an app or inbox. Organizations that have neither a substantial intranet need nor physical displays may find much of this scope unnecessary.

Integrations, security, and support

Named connections include Slack, Microsoft Teams, Webex, Office 365, Atlassian, WordPress, SharePoint, Outlook, Okta, and Google Search. Appspace can also use RSS and XML feeds and pull information from intranets, wikis, and collaboration products through APIs. This makes it a plausible fit for organizations with content spread across several systems.

Appspace cites SOC 3 Type II, ISO 27001, ISO 27017, and Cloud Security Alliance credentials. It says data is encrypted with TLS 1.2 or higher in transit and AES256 at rest, with database and content backups at least every four hours retained for at least three months. Base support covers managed cloud infrastructure, current releases, documentation, and tutorials; higher tiers add chat or phone support and stated response times.

Pricing

The freemium model includes a Free plan at 0.00 USD per free. It allows two Premium Users, one Appspace Device ID, two Admins, 5GB storage per month, and 5GB monthly bandwidth. Those caps suit evaluation or a small deployment, but sharply constrain an organization with more users or screens.

Express and Enterprise have custom pricing, with month-to-month or annual terms. Express includes 25 Premium Users, 25 Device IDs, 25GB storage per month, and 25GB monthly bandwidth. Enterprise starts at 50 Premium Users and 50+ Device IDs, storage, and monthly bandwidth. Express fits a modest rollout; Enterprise is the more natural tier for larger deployments, though buyers should confirm costs against their expected audience and usage.

A separate growing-business bundle offers a 30-day free trial for up to 500 intranet users and 25 signage screens, with no credit card required. Appspace also offers a free trial, giving buyers a way to assess a larger configuration before committing.

Platforms

Appspace supports Android, iOS, web, and Windows, as well as an API. That combination supports mobile and desktop access alongside integrations and connected workplace systems.

Who it's for

Appspace is a strong candidate for organizations coordinating employee communications across offices, frontline settings, intranet content, and physical signage. It is less compelling for teams seeking only a lightweight messaging channel or for those whose audience and display needs exceed the free plan but do not justify a broader platform.

Pros and cons

Pros: One publishing approach spans employee channels, intranet, and signage, which can help teams keep messages consistent across digital and physical workplaces.
Pros: Audience targeting, approvals, email publishing, and adaptable templates support a more governed communications process.
Pros: The free account and 30-day bundle trial offer entry points for small pilots and larger intranet-and-signage evaluations.
Cons: The free plan's two Premium Users, one Device ID, and 5GB monthly storage and bandwidth make it a narrow test, not a realistic broad deployment.
Cons: Express and Enterprise use custom pricing, so organizations must establish costs before comparing the tiers to a fixed per-user budget.
Cons: Its intranet, signage, and workplace-management breadth may be more than a communications-only team needs.

Alternatives

Consider Cerkl Broadcast if email volume and communicator seats are central to the decision: its free Foundations plan includes 5,000 monthly sends and three seats, with additional sends priced at $.09 each and extra seats at $75/mo. Choose HubEngage when a free plan for up to 200 users with communications, social, recognition, surveys, and instant messaging better matches the intended scope.

Netpresenter is another employee communications option with a 14-day free trial and quote-based Desktop Alerts. Blink may suit buyers looking for a paid Core plan at 4.50 USD per month per user with internal communications, real-time collaboration, and a knowledge hub. DeskAlerts offers Lite and Full packages for organizations considering a different employee-alerts package.

SnapComms may fit buyers seeking its Inform package, which includes desktop and video alerts, tickers, and RSS ticker. Talkfreely offers a 60 Days free trial with no user or feature limit stated. Flip is worth considering for a platform-only Growth plan covering up to 300 employees at 4.95 EUR per year.

Verdict

Choose Appspace Workplace if your organization needs one platform for employee messaging, intranet publishing, and workplace signage, especially when the Employee App's space-reservation and visitor-management gateway is useful too. Its strongest case is reach across workplace channels; look elsewhere if you need a simple communications tool or if the free tier's tight user, device, storage, and bandwidth caps are a poor fit.
