Overview

ChurchTrac is church management software for congregations that want administration, finance, worship planning, and member communication in one system. Its broad toolkit is appealing, but the people-based tiers and extra costs for enhanced messaging and online giving deserve close attention.

Founded in 2002 and based in Jacksonville, Florida, ChurchTrac serves churches across sizes and denominations. Each individual tracked counts toward the plan limit; archived names do not.

Key features

Administration and worship

People and group management, attendance, event registration, child check-in, and volunteer scheduling cover routine church operations. Worship planning rounds out the package, with song imports from SongSelect or PraiseCharts. This breadth can reduce the need for separate tools, though churches that depend on custom integrations may find the closed API restrictive.

Giving, accounting, and communication

Fund accounting and giving are included, and online giving integrates with Stripe. Stripe processing fees are an added cost, so churches should factor transaction volume into the budget. Church Connect is included with every subscription and combines a website builder, member portal, and mobile app. Enhanced Messaging costs $7 per month for 250 credits, making the included member-facing tools more comprehensive than the messaging allowance alone.

Security and support

ChurchTrac says it isolates account data in separate databases, encrypts connections with TLS, makes regular backups, and does not store card or bank details. Two-factor authentication is available by email, SMS, or voice call; SMS-based authentication is limited to North America. Support includes one-on-one setup sessions, weekly live training, tutorial videos, and help articles, backed by a Jacksonville-based team.

Pricing

ChurchTrac has no free plan and offers a 30-day trial. Monthly plans are priced by the number of people tracked:

Plan	Price	People tracked
75 people	29.00 USD per month	75
125 people	39.00 USD per month	125
250 people	59.00 USD per month	250
500 people	79.00 USD per month	500
1,000 people	99.00 USD per month	1,000
Unlimited people	119.00 USD per month	Unlimited

The 75-person tier suits a small church with a compact set of active records; the 125- and 250-person plans provide room to grow without jumping to the higher tiers. Larger congregations can choose 500 or 1,000 people, while the unlimited plan avoids a tracked-person ceiling. Because each tracked individual counts, churches should choose based on the records they maintain, not just attendance. Annual 75-, 125-, and 250-person plans are offered without a stated price. Enhanced Messaging adds $7 per month for 250 credits, and online giving adds Stripe processing fees.

Platforms

ChurchTrac supports Android, iOS, macOS, web, and Windows. Desktop check-in requires Windows 10 or later or macOS 11 or later; check-in is also available through an iPad app.

Who it's for

ChurchTrac is a strong fit for churches that want member records, accounting, giving, service planning, volunteer coordination, events, and child check-in under one subscription, with a website and member app included. Its tiered people limits work best for churches able to estimate how many individuals they need to track. Organizations requiring an open API or budgeting for high messaging or giving volume should weigh those constraints before committing.

Pros and cons

Broad operational coverage: Administration, fund accounting, worship planning, volunteers, registration, and check-in are bundled together.
Church Connect included: Every subscription includes a website builder, member portal, and mobile app.
Practical onboarding support: Setup sessions, live training, and self-serve guides give churches several ways to get started.
People limits shape the price: Every tracked individual counts, so churches with larger record sets need higher tiers even if archived names are excluded.
Some costs sit outside the plan price: Enhanced Messaging costs $7 per month for 250 credits, while online giving incurs Stripe fees.
Closed API: Churches that need to connect custom systems may be better served elsewhere.

Alternatives

ChurchSoftware Accounting is worth considering for churches focused on fund accounting, income and expense tracking, financial reporting, and integrated giving that prefer a free plan. CDM+ is another option, with a paid CDM+ Essentials plan at 25.00 USD per month for one program and one user, and support for Android, iOS, macOS, web, and Windows.

IconCMO has Membership & Donation Basic at 50.00 USD per month and Membership & Donation Standard at 75.00 USD per month. FellowshipOne is an alternative with custom pricing. Churchsoft Assist offers its entire suite in the Assist 2022 plan for 40.00 USD per month.

OCM Financial may suit parishes comparing family-based tiers, including Small Parish at 500.00 USD per year for fewer than 500 families and Medium Parish at 750.00 USD per year for 500–1,500 families. One Church Software offers an Accounting add-on at 36.00 USD per month, with a 20% discount eligible when paying yearly. Verdict

Choose ChurchTrac if your church wants a broad management suite with Church Connect included and can match its tracked-person tiers to the congregation's records. Look elsewhere if an open API is essential or if added messaging and Stripe fees would undermine the value of consolidating tools.
